Introducing ComplyPost: Mail Processing Built for Accountants
By Mario — Founder
ComplyPost exists because of a conversation I had with an accountant who told me, without much drama, that she spent most of Monday mornings opening post. Not reviewing accounts. Not advising clients. Opening envelopes, working out who they were for, scanning them, and sending emails. Every week. For years.
She was not complaining — it was simply the reality of running a practice that offered registered office services to a couple of hundred clients. The post arrived, and someone had to deal with it. That someone was usually her.
When I started looking into whether this was unusual, I found it was not. Across UK accountancy practices of all sizes, registered office mail is almost universally handled manually, with workflows that have not changed in twenty years. Letters arrive, people process them, clients are notified — eventually — and the whole thing runs on goodwill, institutional memory, and whoever happens to be at the front desk when the post comes in.
ComplyPost is the answer to that problem.
What ComplyPost Does
At its core, ComplyPost is a registered office mail management platform built specifically for UK accountancy practices and bookkeeping firms. It brings together three things that currently happen separately — or not at all — in most practices:
Digital Mail Processing
When correspondence arrives at your registered office address, it is scanned, classified, and made available digitally within hours. Your team can see every piece of mail that has arrived, which client it belongs to, and what type of document it is — without touching a physical filing cabinet or searching through a shared drive. Letters from HMRC are flagged differently to Companies House correspondence, which is flagged differently to routine documents, because not all post is equally urgent.
Client Notification
Clients are notified automatically when correspondence arrives at their registered address. They receive a notification — via email or through a dedicated client portal — with a digital copy of the document attached. No more clients calling to ask whether a letter has arrived. No more post sitting on a desk for two weeks because the relevant partner was on leave. Notification happens the same day, every time, with a timestamped record that protects your firm if the client later claims they were not informed.
Registered Address Monitoring
ComplyPost integrates with the Companies House API to continuously monitor which companies are registered at your address. You receive alerts when a new company appears at your address — whether you set it up or not. This means you will know immediately if a former client's company is still registered at your office after they have moved to a different accountant, or if a company has been registered at your address without your knowledge or consent. For AML compliance, this visibility is not just convenient — it is essential.
Who It Is For
ComplyPost is built for UK accountancy practices and bookkeeping firms that act as registered office for their clients. It is particularly well-suited to:
- Small and mid-size practices (five to fifty staff) that offer registered office as part of a broader client service, where the administrative burden of mail processing falls disproportionately on senior staff
- Growing firms that are adding registered office clients faster than their current manual processes can handle
- Practices with AML compliance obligations that want a clear, auditable record of every piece of correspondence received on behalf of each client
- Firms reviewing their registered office pricing who want to justify a higher fee with a measurably better service
ComplyPost is not intended for individual company directors who want to manage their own mail — it is a practice tool, built around the workflow of firms managing correspondence on behalf of multiple client companies.
Why We Built It for Accountants Specifically
There are generic document management and mail scanning services available in the UK market. We chose not to build one of those. Instead, we built something that understands the specific context of UK accountancy practice — the regulatory environment, the relationship between practice and client, and the particular importance of correspondence from HMRC, Companies House, and other statutory bodies.
That means ComplyPost knows the difference between a CT603 notice and a routine HMRC reminder. It understands that a confirmation statement from Companies House has a specific filing deadline attached to it. It is aware of the AML obligations that apply to supervised accountancy firms, and it is designed to support — rather than complicate — the compliance processes your supervisory body expects you to have in place.
It also means that when we build new features, we build them with accountants in mind. Our early adopters are practices, and their feedback shapes the product directly.
The Compliance Case
Beyond the operational benefits, there is a straightforward compliance case for using a tool like ComplyPost. UK GDPR requires that personal data processed by your firm — including the personal data contained in client correspondence — is handled with appropriate controls, stored securely, and accessible only to those who need it. A manual, paper-based process makes this difficult to demonstrate. A digital system with access controls, an audit trail, and defined retention periods makes it straightforward.
Similarly, your AML supervisory body — whether that is HMRC, ICAEW, ACCA, or another recognised body — expects you to know who is registered at your address and to have appropriate due diligence in place for each of them. ComplyPost's address monitoring feature supports this directly, giving you a real-time view of the Companies House register and alerting you to anything unexpected.
What Is Coming Next
We launched ComplyPost with core mail processing and address monitoring functionality. On the roadmap for the coming months:
- Direct integration with popular UK practice management platforms
- Automated deadline tracking for Companies House filing obligations
- Enhanced client portal with self-service document access
- Bulk onboarding tools for practices migrating from manual processes
If you run a UK accountancy practice and the picture I described at the beginning of this post sounds familiar — if someone in your firm is spending their Monday mornings opening post — we would love to show you what ComplyPost can do. You can sign up for early access directly from our website, or get in touch to arrange a walkthrough with someone from the team.
The post has to be dealt with. It might as well be done properly.
