ComplyPost for TCSPs

Run your registered office post like a supervisor is watching.

For trust and company service providers, client mail is now evidence. ComplyPost logs every letter against the right company, flags HMRC and Companies House deadlines, proves delivery for the appropriate address rule, and emails you when a company is added to or removed from your address.

No credit card. Set up in 15 minutes. Software for providers — we don't sell addresses.

WHAT CHANGED

Providing an address is now a compliance service, not a postbox.

The Economic Crime and Corporate Transparency Act made the registered office an appropriate address: post has to reach someone acting for the company. Companies House can now challenge addresses, and identity verification means the register is being cleaned up company by company.

Meanwhile your AML supervisor expects you to know every company using your address and to show what happened to its mail. A shared inbox and a scanner do not answer either question. A per-letter record does.

BUILT AROUND YOUR OBLIGATIONS

Each rule you are inspected on, mapped to what ComplyPost does.

Appropriate address (ECCTA 2023)

Since March 2024 a registered office must be somewhere post reaches the company, with delivery capable of acknowledgement.

Every letter is matched to its company, timestamped on upload, and logged through email or portal delivery to opened — a per-letter acknowledgement trail you can export.

Know every company at your address

Companies can register your address without permission. Mail for a company you never onboarded is a red flag.

Scan Companies House for every company at your address and import the genuine ones as clients. Then get an email alert whenever a company registers at your address, moves away, or is dissolved.

Statutory mail never waits

HMRC, Companies House and court letters carry short deadlines. A missed strike-off notice becomes your complaint.

AI reads each letter for sender type, priority and deadlines, so statutory mail is flagged and forwarded first, with deadline reminders.

Records for the full retention period

AML rules expect records kept five years after the relationship ends, and a supervisor may ask for one client’s history.

A searchable per-company correspondence history, an audit log of 72 event types exportable as CSV, and retention controls up to five years.

HOW IT WORKS

One scan in the morning. A complete record by lunch.

ComplyPost sits between your scanner and your clients. Nothing is sent without a person confirming it.

  1. 1

Scan the day’s post as one batch

ComplyPost splits the PDF into individual letters, including multi-page HMRC bundles.

  2. 2

AI matches each letter to a client company

Company names, numbers and references are read and matched to your client list; unknown recipients are flagged.

  3. 3

    Review the exceptions

Confirm matches in bulk, fix the odd one with the original page alongside, and see statutory mail first.

  4. 4

    Deliver and keep the trail

Email from your own domain or publish to the client portal. Every send, view and download is logged.

Questions from TCSPs

What is a TCSP?

A trust or company service provider is a business that, by way of business, forms companies, provides a registered office or correspondence address, acts or arranges for someone to act as a director, secretary, nominee shareholder or trustee. TCSPs are covered by the Money Laundering Regulations 2017 and must be supervised by HMRC or a professional body.

Is ComplyPost a registered office provider?

No. ComplyPost is the software TCSPs use to run the post side of their service. You stay the provider; ComplyPost processes the mail, keeps the record, and monitors your address.

Does ComplyPost do our customer due diligence?

No — ComplyPost is not an identity verification or CDD tool. It covers the correspondence obligations: logging and delivering mail, flagging statutory letters, monitoring who is registered at your address, and keeping the audit trail your supervisor will ask about.

How does this help with the appropriate address rule?

The rule asks that documents sent to a registered office come to the attention of someone acting for the company, with delivery capable of acknowledgement. ComplyPost records when each letter arrived, which company it was for, how it was delivered and when it was opened.

How long does setup take?

Most providers process their first batch within 15 minutes. Import clients from a CSV or straight from a Companies House scan of your address, upload a scanned batch, and review the matches.

Where is client mail stored?

On UK-based infrastructure, encrypted at rest, with role-based access, retention controls, and GDPR tooling including subject access export and deletion.
