Letter scanning software that knows who each letter is for.
Scan the whole pile as one PDF. ComplyPost splits it into letters, reads them, works out who each one belongs to, and sends it on — keeping a searchable copy of everything.
NO NEW HARDWARE
The scanner was never the problem.
Every office already owns a scanner. The problem is what happens next: someone reads each scan, works out who it belongs to, renames the file, writes an email, attaches it, sends it, and files a copy. Per letter. Every day.
ComplyPost is the software for that part. Your copier's scan-to-email button feeds it; everything after the flatbed is automatic until a human needs to approve.
AFTER THE SCAN
What the software does with your PDF.
The pile becomes letters.
Scan everything as one multi-page PDF — no sorting first. ComplyPost finds where each letter starts and ends, even when one document runs over several pages.
Every letter gets read.
Not just OCR. The software reads the text and works out the sender, who the letter is for, what it's about, how urgent it is, and whether there's a deadline in it.
Someone checks, nothing retypes.
You see the original page next to what the software understood. Confirm the obvious ones in bulk, fix the odd one out, and nothing goes anywhere without approval.
It reaches the right person.
Each letter is emailed from your own address — or published to a secure portal — and a searchable copy stays behind, with a log of who received what and when.
WHO IT'S FOR
Same scanner, three kinds of post pile.
Accountants handling client post
Letters arrive for hundreds of client companies. The software matches each one to the right client and sends it on, instead of someone typing company names into file names all morning.
Registered office managementLaw firms and the daily tray
Court orders, counsel's papers, and completion documents triaged by urgency, matched to the client or fee earner, and delivered with an audit trail.
Mailroom automationBusinesses drowning in their own post
One company, lots of correspondence. Scan it all, let the software file it by sender and topic, and find any letter later by searching in plain English.
Correspondence WarehouseTo be clear: ComplyPost is not a registered office provider or a scanning bureau — it is the software firms use to run those services themselves.
Letter scanning questions
Do I need a special scanner?
No. Any scanner that produces a PDF works — including the scan-to-email or scan-to-folder button on an ordinary office copier. Feed the whole pile through at once; the software does the splitting.
Can it split one big scan into separate letters?
Yes — that's the point. You scan the stack as a single multi-page PDF and ComplyPost detects the boundaries between letters automatically, including documents that run over multiple pages.
How does it know who a letter is for?
It reads the letter text — company names, addresses, reference numbers — and matches it against your client or contact list. Confident matches are queued for one-click confirmation; uncertain ones wait for a person to decide. It learns from every confirmation.
How do the letters reach people?
By email from your own domain, as a clean PDF with a short summary — or through a secure portal where clients can log in and see their own correspondence. Every delivery is logged.
What about letters with sensitive contents?
Documents are encrypted and stored on UK servers, access is role-based, and every view and download is recorded. You control retention and can export or delete data at any time.
What does it cost?
Free for 100 scanned pages a month, no card. Starter is £31.99/month for 500 pages, Pro £74.99/month for 1,000 pages with unlimited clients and plain-English search.
